ETVA Secure Web Access

ETVA has chosen to secure certain parts of our website so as to protect our members. There are two different systems being used in different areas of the website. Unfortunately, the limitations of our server and security system do not allow these systems to be merged into one. The instructions following refer to using the two different systems. Please familiarize yourself with this information.

Please notice that both systems require an authorization from the webmaster before you will be able to utilize either system. Depending on the time of year and the number of people attempting to use the system, it may take some time before the webmaster can get you set up. Your patience is appreciated in such situations. If a period of up to 48 hours goes by (or 72 hours over a holiday weekend), please email the webmaster to inquire as to the status of your being added to the system.

Secure Documents

Certain files and documents such as our membership directory, our policy manual, and other files may be in a secure directory on the ETVA site. Access to this site will be limited to current ETVA members. Your username and password for this site will be assigned to you by the webmaster.

Your username for this portion of the website will be your firstname (or the name by which you are commonly addressed) followed by a period and your lastname; for example, Bill Smith's username will be bill.smith. Please notice that all letters are lowercase.

The username for this portion of the website will be your MENC ID# number, written as a nine-digit number. If your ID# is less than nine digits, zeros will be added BEFORE the number to make nine digits. For example, a person with MENC ID# 123456 would have this password: 000123456.

If you do not have an MENC ID# at the time you join ETVA, a number will be assigned to use for a limited number of days after which you will have to indicate your MENC ID# or lose access to these parts of the website.

Registrations Secure Area

The part of the ETVA website used to register students for events is also in a secure area of the website, but a different one from the secure documents area and using a different server technology. This difference in technology makes it impossible to automatically use the same username and password as the secure pages.

However, you will be able to choose your own username and password for this section and you will be able to change your password at will. It is the recommendation of the webmaster that you use the SAME username for both parts of the website, i.e. your first and last names, all lowercase, connected with a period. If you choose a username that cannot be easily identified with you, your access may be delayed or denied.

Please note that in the Registrations area, the webmaster is unable to see your individual password, however, he can reset your password should you not be able to gain access.

The registrations area password protection system utilizes automatically generated email messages. Some school system webservers automatically send such messages to a spam filter. If you are expecting an automated email from the system (such as when you initially sign up, or when you try to change your password) and do not receive it within a couple of hours, please check your spam filter.

Avoiding Spam Filters

The following recommendations MAY help assure that you receive automatically generated emails from our website.

  • Please add webmaster@etva.org and admin@etva.org to all your personal contact lists and address books. Many system emails use both your local computer's address book, and a web-based contact list to filter emails.
  • If you have access to your spam filter's controls, please check for an "allow" list and if you find one, please add etva.org and web2.etva.org to your accepted domain name list.
  • If your system email is monitored centrally, please ask your Information Technology department to whitelist the etva.org and web2.etva.org domain names.
  • Your individual internet provider may also have an "allow" list. Check with your ISP (internet service provider) to see if they have blocked etva.org and/or web2.etva.org. Please ask them to whitelist those domains.
