How to Join (or Rejoin) ETVA

The membership deadline for this year is now past. Returning ETVA members will be assessed a late fee. First time members are always welcome to join ETVA.

The East TN Vocal Association (ETVA) requires directors to be members in good standing of ETVA, TMEA (Tennessee Music Education Association), and MENC (Music Educators National Conference) if their students are going to participate in ETVA-sponsored activities. If you are not yet a member of MENC, or if your membership has expired, please take care of that before joining ETVA. You may contact MENC Member Services to check on the status of your membership, or to renew.

To join ETVA, click the link at the bottom of this page which will take you into our membership database system. Returning members please be aware that our change of servers last year did not allow us to preserve your login and password from last year. Please read the following instructions and print a copy to keep handy as you move ahead.

Joining or Rejoining - A step by step guide

Step 1

  1. Click the link you will find at the bottom of this page. You will be taken to the web2.etva.org website which is the gateway to the registration system.
  2. At the top of that page you should see the ETVA banner, a couple of links to Music Lists, and a generic set of instructions. Most important, just under the red banner and to the left of the page, is a link that says "You are not signed in. Sign in." Click that link.
  3. A new page will open with a sign-in block in the center of the page, with choices to enter a username and password, to sign up for a username, to deal with a forgotten password, and to browse as a guest. Choose the option "Don't have a username? Sign up here".
  4. A new page will open with a form to complete.
    • It is HIGHLY RECOMMENDED that you use your first and last name, all lowercase, with a period inbetween as your username (e.g., Tom Jones would choose tom.jones as his username.) This will greatly simplify things later if there is any kind of problem. You don't have to use that pattern, but it may slow down the process for you. I'm not sure I would grant approval for "Sitehacker 235" to join.
    • You can click the "Check if this username is available" button to make sure no one has beaten you to your choice.
    • Your password is not restricted. You can use "password" as your password. I wouldn't recommend it, but you can. The password is encrypted as you enter it and the webmaster will NOT be able to see your password. (He is able to reset it for you if necessary.)
    • Please use the email address you check the most often. This email address will be used to send confirmations and change of password notifications.
    • Most likely you will see only one option for the Group - "Director*". Should you see more choices, choose Director anyway. If you succeed in choosing another group, I'm going to change it anyway when I approve your forms.
    • Please enter your name as you are commonly addressed, e.g., "Joe Smith", not "Joseph Martin Smith, III Esquire".
    • Please enter your school name. You may abbreviate common words like "high school" or "middle school".
    • Please enter a phone number where I can contact you if there is any question about your registration. Do NOT use your school office number if you are not going to be answering that phone until mid-August.
  5. After filling in the whole form, click the "sign up" button.

If you followed directions you should now see a graphic of a handshake. You will NOT be able to sign in immediately. You will have to wait for the confirmation email. Be looking for an email from "ETVA Webmaster".

Depending on the time of day, the day of the week, and the availability of the webmaster, it may take a while for the registration to be approved and the confirmation email sent. Please allow up to 48 hours before you decide something has gone wrong. In the meantime, check your spam filter just to make sure the email didn't end up there. If you have not gotten a response in 48 hours, please email the webmaster.

Step 2

When you get the confirmation email, there's a link back to the web2.etva.org site. Click it and you should be somewhere you've been before.

  1. Click the sign-in link at the upper left of the page.
  2. You will go back to the sign-in form. This time enter your username and password that you created in step 1 above.
  3. You can click the "remember me" box and DEPENDING ON YOUR BROWSER, it MIGHT remember your username and password the next time you return to this page.
  4. You will now be at a page that looks similar to the one you were on two steps ago. There is one significant difference. Now you should see a link to the Directory. If you do, click it. If you don't, email the webmaster!
  5. Assuming you saw the link and clicked it, you should now be on the Directory form page. There are specific instructions for this page at the top and bottom of the form. READ THEM! Particularly, read #2 and #3 at the bottom of the page.
  6. Fill in this form completely. If there is an asterisk next to the label for each box, you MUST put in information there, or you will not be able to save your information.
  7. After you have completed the form, click the "Save New" button. Assuming you have filled in all the required boxes your record will save and you'll see your information in the table above the form. If you left out a required field or DID NOT FOLLOW INSTRUCTIONS #2 and #3 from the bottom of the page, the record will not save and a notice should tell you why. If there's a problem, fix it and try again.
  8. When your record saves, you'll notice that there are a lot of new buttons now. If there is any error in your information, you can fix it by typing over the old information and clicking the "Save Changes" button. You can click the delete button and your record will be erased from the database.
  9. IMPORTANT - DO NOT CLICK "SAVE AS A COPY". If you do, you will be entered twice and will owe ETVA two user fees! (Not really... but you don't really want to start the year being known as the person who can't read instructions, do you?)
  10. Don't worry about the cancel button. It has a function but you don't need to know about it right now.

Congratulations - you are now registered for ETVA... probably

On completing the form and saving it, an email notice is automatically sent to the Exec. Secretary/Treasurer of ETVA and the Webmaster. If there is any problem you will hear from the webmaster. If everything is good to go, you will receive an invoice for your fees a little later this year. You should also hear from the webmaster with your username and password for the secure documents section of our website sometime within the next several days.
